Google Business Profile optimisation checklist for Google Maps

This Google Business Profile optimisation checklist is the one we run for every local business that asks why a competitor down the road shows up on Maps and they don't. It is written for India: video verification headaches, festival hours, JustDial and IndiaMART listings, Gujarati spellings and GIDC units that don't take walk-in customers.

Quick answer

To optimise a Google Business Profile, verify it, choose the most accurate primary category, keep the name exactly as on your signboard, fill services, hours and attributes, add real photos regularly, earn and reply to reviews, and keep your name, address and phone identical everywhere online. BrainBean Technolabs in Anand, Gujarat runs this checklist and monthly upkeep for local businesses.

How Google decides who ranks on Maps

Google says local results are based on three things: relevance, distance and prominence. Everything in this checklist feeds one of them.

  • Relevance is how well your profile matches the search. Categories, services, products and your description do the heavy lifting here.
  • Distance is how far you are from the searcher or the place they named. You can't change it, which is why stuffing the name with areas you don't serve is pointless and risky.
  • Prominence is how well known you are: reviews, mentions on other sites, links to your website and your overall web presence.

So the honest answer to how to rank on Google Maps is: be the most complete, accurate and active profile among those close to the searcher. There is no hidden switch, and the same list doubles as a basic local SEO checklist. Owners who want this handled end to end usually hire local SEO services, but everything below you can do yourself.

Claiming and verifying your profile in India

Search your business name on Google Maps first. If a listing already exists (customers or Google itself often create one), claim it rather than making a duplicate. If nothing exists, use "Add your business" at business.google.com. That's how to add a business on Google Maps properly.

Google Business Profile verification in India

Most new profiles now get video verification. You record one continuous clip showing your location and proof you run the business. What Google wants to see:

  • The outside of the premises with a signboard, then the street or neighbouring shops so the location is clear.
  • Walking inside without cutting the video.
  • Something only the owner has: opening the shutter, the billing counter, equipment, stock, or a GST certificate or utility bill with the same address.

Common failures we see: no permanent signboard, a home office with nothing that proves business activity, or an address typed differently from the one on documents. Postcard verification still appears for some listings but is unreliable in many areas.

The checklist at a glance

Each item, why it matters, and how often to look at it again.

Verification and ownership (one time)

Verify through video, and add a second owner from your side so access never depends on one employee.

Name and categories (yearly)

Real name only. Primary category chosen by checking what map-pack winners use.

Address or service area (one time)

Correct pin at the gate, or a hidden address with realistic service areas.

Hours and special hours (before every festival)

Update closures ahead of Diwali, Navratri and Uttarayan so nobody arrives at a locked door.

Services and products (quarterly)

Every service listed with a plain description and links to matching web pages.

Photos and posts (monthly)

A few genuine new photos and one or two posts keep the profile looking active.

Reviews (weekly)

Ask, reply to everything, and never buy or incentivise reviews.

NAP and citations (twice a year)

Audit JustDial, IndiaMART, Bing and Apple listings for old numbers or addresses.

Business name, categories and the keyword-stuffing trap

Should you add keywords to your business name? No. Use the real name as it appears on your signboard, letterhead and GST registration. "Shree Krishna Dental Clinic" is fine. "Shree Krishna Dental Clinic Best Dentist Anand Root Canal" breaks Google's guidelines, and one competitor's edit suggestion can get it reverted or suspended.

If your brand is known by a Gujarati name, keep one consistent English spelling across the web. Mixing "Shreeji", "Shriji" and "Shree Ji" confuses matching between sites.

Choosing Google Business Profile categories

Your primary category is the strongest relevance signal you control. Pick the one that describes the core of your business, not everything you do. A skin clinic should probably be "Dermatologist", with "Skin care clinic" and "Hair removal service" as additional categories. A way to check: search your main keyword and look at the categories of the three businesses that show in the map pack, using the category line under each name.

  • Primary: the one thing you most want to be found for.
  • Secondary: genuine additional services only. Irrelevant extras dilute relevance.
  • Recheck categories once a year, as Google adds new ones.

Address, service areas and pin placement

If customers visit you, show the address. If you go to customers (AC repair, pest control, interior contractors, solar installers), set up a service-area business and hide the address.

Google Business Profile for a service area business

Hiding the address is allowed and often required. List the cities or districts you actually cover, such as Anand, Nadiad and Vadodara, rather than half of Gujarat. Ranking is still influenced by the hidden location, so a service-area profile ranks most strongly near its base.

SetupBest forAddress shownWatch out for

Service-areaRepairs, contractors, home servicesNoDon't list every district
HybridShowroom that also installs on siteYes, plus areasHours must reflect walk-ins
Factory or GIDC unitManufacturers who host buyer visitsYesCorrect plot and gate pin

Drag the map pin to your actual gate. In large estates like Vithal Udyognagar or Makarpura GIDC, a wrong pin sends buyers to the wrong plot and generates "wrong location" edits.

Setting up a new profile the right way

The order we follow when a business has no profile or a messy one.

  1. 01

    Search for existing listings

Find duplicates or customer-created listings on Maps and claim the right one before making anything new.

  2. 02

    Verify with a clean video

One uncut clip: signboard, street, entrance, inside, and proof like the billing counter or GST certificate.

  3. 03

    Fill every field honestly

Name, categories, hours, attributes, services, products and description, all matching your real business.

  4. 04

Add photos and a first post

Exterior, interior, team and work samples, then a post announcing a current service or offer.

  5. 05

    Align your website and citations

Create a matching location page with schema, and correct NAP on directories you already appear on.

  6. 06

    Start the review habit

Send your review link to recent happy customers and reply to each review as it arrives.

Hours, festival hours and attributes

Regular hours should match reality, including lunch closures if you have them. Then use special hours for Diwali, Navratri, Uttarayan, Holi and other local closures. A patient who drives to a closed clinic on Bhai Dooj leaves a one-star review, and Google notices profiles that keep hours current.

Attributes are the small tags such as wheelchair accessible entrance, women-led, online appointments, onsite services and payment options like UPI. Fill in every one that is true. They show in the profile and help with filtered searches.

Google Business Profile optimisation checklist: services, products and description

This is where most profiles are thin. Google gives you a Services list and a Products section. Use both.

  • Services: add each service you want to be found for, with a short plain description. "Root canal treatment: single and multiple sitting options, digital X-ray on site."
  • Products: for manufacturers and retailers, add product lines with a photo, a short description and a link to the matching page on your site.
  • Description: write for people, not algorithms. Say what you do, who you serve, where, and what makes you different. Skip URLs and offers; Google doesn't allow them here.

A typical enquiry we see from a Charotar manufacturer: "We make packaging machines but show up for 'packaging material'." The fix is almost always better categories plus a clear Products section pointing to specific pages.

Photos and videos that actually help

How many photos should you upload? Enough that a stranger understands your business without visiting, then a few fresh ones every month. Google tends to favour profiles that look alive.

What to shoot

  • Exterior from the road, so people recognise the building when they arrive.
  • Interior, reception, and workspace.
  • Your team at work (with their permission).
  • Finished work: installations, before and after, products, dishes.
  • Short videos, filmed on a phone in good light.

Geotagging photos is a myth that refuses to die. Google strips location metadata on upload, so adding GPS tags to images does nothing for ranking. Spend that time taking better pictures instead. Don't use stock photos either; customers can tell.

Reviews: earning them honestly and replying well

Do reviews and review replies improve Maps ranking? Reviews are one of the clearer prominence signals, and they are what turns a searcher into a caller. Quantity, recency and what reviewers write all matter.

  • Ask every happy customer, at the moment they are happiest. A short WhatsApp message with your review link works well.
  • Never buy reviews, offer discounts for them or ask staff to post from family phones. Google filters and removes these, and can suspend profiles.
  • Reply to every review, positive or negative, within a few days. Mention the service naturally, not as a keyword dump.
  • For negative reviews, reply calmly, take it offline, and fix the real issue. Report only reviews that break policy.

We wrote a separate guide on how to get more Google reviews with scripts and timing that work for Indian customers.

Google Business Profile posts, Q&A and messaging

Do Google Business Profile posts help ranking? Directly, not much. Indirectly, yes: an active profile with current offers gets more clicks, and clicks and calls feed prominence. Post updates, offers and events a couple of times a month: a new product batch, festive hours, a seasonal service.

Where Google still shows questions and answers on your profile, add the common ones yourself and answer them clearly. In-profile chat was discontinued in 2024, so use your website link, call button and, where your profile allows it, a WhatsApp contact link. Pair it with a WhatsApp chatbot if enquiries arrive after hours.

NAP consistency, citations and your website

NAP means name, address and phone. It should be identical on your website, Google, JustDial, IndiaMART, TradeIndia, Sulekha, Facebook, Bing Places and Apple Business Connect. Even "Nr." versus "Near" is fine, but different phone numbers or old addresses are not. Search your old number on Google to find listings you forgot about.

Link the profile to a proper landing page

Your profile's website link should go to a page about that location or service, not just the homepage. That page should repeat the NAP, embed a map, list services and carry LocalBusiness schema markup with the same details. If your site can't do this, our website design team builds location pages that do. Businesses serving Baroda buyers often pair this with an SEO company in Vadodara for wider organic reach.

Clean NAP and structured data also help AI assistants describe you correctly. Our guide on how to get recommended by ChatGPT and the explainer what is GEO cover that next step.

Suspensions, duplicates, branches and spam competitors

Google Business Profile suspended: why and what to do

The usual causes: keywords in the name, a virtual office or co-working address, duplicate listings, a sudden change of address or name, or a service-area business showing a home address. Fix the cause first, then file a reinstatement request with proof: signboard photos, GST certificate, utility bill, and photos of the premises. Don't create a new profile; that makes it worse.

Can I have multiple profiles for multiple branches?

Yes, one per staffed location open to customers. A clinic chain with branches in Anand, Vadodara and Surat should have three profiles under one business group, each with its own phone, hours and landing page. You can't create profiles for cities where you merely deliver.

Spam competitors

Fake listings and keyword-stuffed names are common in some trades. Use "Suggest an edit" for the name, or the Business Redressal Complaint Form for serious cases. Keep evidence. It works slowly, but it works.

Insights and a monthly routine

The Performance section shows calls, direction requests, website clicks and the search terms people used to find you. Check it monthly. If calls fall but views hold, look at your photos, hours and reviews. If views fall, check categories and whether a competitor overtook you.

Why doesn't your business show up for "near me" searches? Usually it's distance plus weak relevance. Near me SEO isn't a trick: the searcher's location decides much of it, and a complete, well-reviewed profile wins the rest.

Frequently asked questions

How do I optimise my Google Business Profile?

Start by verifying it, then choose the most accurate primary category and fill every field: services, products, hours, attributes and description. Add genuine photos, collect and reply to reviews, and keep name, address and phone identical across your website and directories. After that, update it monthly.

How do I rank higher on Google Maps in India?

You rank higher by being the most relevant, complete and trusted profile near the searcher. Pick the right categories, list your services clearly, earn steady reviews, keep citations on JustDial and IndiaMART consistent, and link to a location page with LocalBusiness schema. Distance still matters, so no profile ranks everywhere in a city.

What are the most important Google Maps ranking factors?

Google names relevance, distance and prominence. In practice the strongest levers you control are primary category, business name accuracy, reviews, consistent NAP across the web and a strong website page for the location. Photos, posts and review replies help conversions and signal an active business.

How do I choose the right primary category?

Choose the category that describes your core business, not everything you offer. Search your main keyword on Maps and note the primary categories of businesses in the top three. Use additional categories only for genuine extra services, and review your choice once a year.

Should I add keywords to my business name?

No. Your profile name should match your real business name on signage and documents. Adding keywords or area names breaks Google's guidelines and is a common reason for suspensions. Competitors can also suggest edits that strip the keywords and flag your profile.

How do I verify my Google Business Profile in India with video?

Record one continuous video that shows your signboard, the street around it, the entrance, the inside of the premises and proof you run the business, such as opening the shop or showing tools or a GST certificate. Keep it steady and uncut. Profiles without permanent signage often fail this check.

Why was my Google Business Profile suspended and how do I fix it?

Suspensions usually follow keyword stuffing in the name, a virtual office address, duplicate listings or sudden changes to name or address. Correct the problem, then submit a reinstatement request with photos of signage and premises plus documents like a GST certificate or utility bill. Don't open a new profile while it's under review.

How many photos should I upload and how often?

Upload enough to show your exterior, interior, team and work, then add a few new genuine photos each month. Regular fresh photos signal an active business and help customers trust you. Skip stock images and don't bother geotagging, since Google strips that data.

Do Google Business Profile posts help ranking?

Posts have little direct ranking effect but help people choose you. They show offers, updates and events right on your profile, which can raise calls and website clicks. Posting a couple of times a month about real updates is enough for most local businesses.

Can a service-area business hide its address?

Yes. If you serve customers at their location and don't receive visitors, you should hide your address and list the areas you serve. Keep the list realistic. The profile still ranks strongest near your hidden base location.

Why does my business not show up for near me searches?

Near me results depend heavily on the searcher's location, so you may simply be too far away. Beyond distance, weak categories, few reviews or an incomplete profile hold you back. Improve relevance and reviews, and you'll appear for more nearby searches.

Can I have multiple profiles for multiple branches?

Yes, one profile per staffed location that serves customers. Each branch needs its own address, local phone number, hours and ideally its own landing page. You can manage them together in a business group, but you can't create profiles for places where you only deliver.

GMB optimisation aur Google Business Profile same hai kya?

Yes, Google My Business was renamed Google Business Profile in 2021, so GMB optimisation and Google Business Profile optimization mean the same work. Any GMB checklist you find online applies here, though newer features like video verification and service lists are what matter most today.
